Job description: ResponsibilitiesAssigned to the EXECUTIVE OFFICE directorate and reporting to the General Services Officer (GSO), the Support Services Specialist plays a pivotal role in providing comprehensive operational and administrative support within GHSD. This full-time position manages the coordination, planning, and implementation of meetings and events, including monitoring activities of high-level management such as the U.S. Global AIDS Coordinator. The specialist also facilitates the analysis and selection of venues for various official engagements and supports areas such as facilities management, general services, information technology, and communications. Responsibilities extend to managing the acquisition of support services like office modifications, telecommunications, equipment, furnishings, and travel logistics. Additionally, the role involves administering logistical and security programs, conducting physical inventories of office assets, ensuring inventory accuracy, handling excess property, and overseeing contractor-operated mail and file operations.

  • Assists with planning, scheduling, and implementing the agenda for meetings and events, monitoring the daily, weekly, and monthly activities of the U.S. Global AIDS Coordinator, Special Representative for Global Health, and other GHSD senior management staff.
  • Provides comprehensive operational and administrative support to GHSD, covering facilities, general services, information technology, and communications.
  • Supports the coordinator’s senior management team by aiding in the planning and logistical analysis of venues and locations for meetings, conferences, bilateral talks, and other engagements.
  • Coordinates and acquires support services, which include office space alterations, repairs, maintenance, moving services, telecommunications (telephone equipment, voicemail, fax machines), office equipment (copiers, file cabinets, specialized lighting), furnishings (desks, chairs, carpets, credenzas, bookcases, authorized artwork), official travel services (transportation and lodging reservations, issuance of diplomatic passports, visas, travel credit cards), messenger and express delivery services, records management, employee parking permits, and audiovisual support for large gatherings and conferences.
  • Administers various logistical and security programs; conducts physical inventories of office equipment and furnishings, certifies inventory accuracy, generates excess property reports, arranges for the removal of excess items, and oversees contractor-staffed Bureau mail and file operations.

QualificationsSkills/Qualifications: Must be self-motivated, have strong attention to detail, good oral and written communication skills. Must be in good physical condition and can occasionally travel.MODERATE RISK PUBLIC TRUST clearance required.Education and Experience:

  • High School Diploma/General Education Development Test
  • Minimum of 6-9 years of relevant work experience.
