Job description: Description of WorkSelected applicant will report to Alcohol Law Enforcement Headquarters located at 525 N. Greenfield Parkway, Suite 140, Garner, North Carolina 27529. This position is 100% in person with no teleworking option.This is a full-time position (40 hours per week) with . Position may require all-day travel. Applicants will be subject to a criminal/civil background investigation and polygraph. Recommended applicant must pass a drug screen.This Administrative Specialist I will provide administrative support to the Alcohol Law Enforcement (ALE) Division by assisting the HR Program Manager with the ALE Special Agent application process; serving as a time administrator (including) time entry and conducting monthly time audits; managing the Fixed Asset System inventory for the Division; and providing support to the Accounting Technician II position utilizing the North Carolina Financial System (NCFS).Job responsibilities include:

  • Assists with all phases of the ALE Special Agent application and hiring processes including, but not limited to, creating requisitions, exam plans and position postings. Receives and screens Agent position applications to determine if minimum qualifications are met; runs demographic report in NEOGOV and creates a new demographic report for each step of the applicant process; reviews application packages for corrections; schedules and proctors review boards and reports results to command staff; updates polygraph schedule, assigns case numbers, scans and uploads applicant information for polygraph examiners; forwards background investigation packets to District offices; organizes new hire files; and assists with completing onboarding process and processes paperwork as requested.
  • Completes BEACON/FIORI time entry for ALE Division employees weekly; verifies each employee has 160 hours or more per 28-day work cycle; completes time entry investigations and corrections; prepares a time audit monthly to review work cycle; prepares comp aging reports as requested; prepares overtime report monthly for HQ staff; and compiles Division OT report monthly.
  • Performs administrative functions of the office as needed. These duties include, but are not limited to, serving as support staff to ALE Command Staff and other headquarters personnel, miscellaneous typing and data entry, scanning and uploading financial documents to SharePoint, completing monthly OT report for Division personnel, cooperating with Division Headquarters and operating various office equipment.
  • Prepares and disseminates special orders on a monthly basis. Creates and disseminates weekly activity report workbooks on a monthly basis. Regularly updates the Division directory as personnel depart or move to different positions, new employees arrive, or employee’s personal information changes. Serves as backup to main point of contact by answering incoming phone calls from the general public and other DPS personnel.
  • Maintains administrative files (paper and electronic) to include preparing new files, organizing all files and purging files according to the retention schedule. Maintains all ALE Division personnel files, including organizing all files and preparing them for audits by NC Criminal Justice Training Standards and Office of State Human Resources. Archives inactive personnel files as needed. Purges applicant files as needed.
  • Manages the Fixed Asset System inventory for the Division.

About the Alcohol Law Enforcement (ALE) Division: ALE is a division of the North Carolina Department of Public Safety. Alcohol Law Enforcement Special Agents have statewide jurisdiction to investigate any criminal offense and make arrests within the State of North Carolina. ALE is the lead enforcement agency for the state’s alcoholic beverage control, lottery and tobacco laws. As such, ALE special agents target problem ABC- licensed and illegal establishments that serve as havens for violence, drugs, gang activity, organized crime, money laundering and other criminal activity.The mission of the Alcohol Law Enforcement Division is to reduce crime and enhance public safety throughout the State of North Carolina.
